My Calendar Only Shows ‘Busy’ Blocks

If the calendar test tool above told you every event is showing as a generic “Busy” block with no real details, CrewWX can’t read trip information from it, even though the calendar itself is connected and reachable. You’ll need to submit a different, correct calendar link. This isn’t a setting you can flip on the link you already gave us. This has one of two causes:

  1. On Google Calendar, this almost always means you shared the wrong kind of link. Google Calendar’s regular sharing link follows that calendar’s general sharing permissions, which can be restricted to free/busy only. The fix isn’t to hunt for a setting to change on that link, it’s to get the correct link in the first place: the Secret address in iCal format. See the Google Calendar setup guide. That address is a private, full-detail feed tied directly to your account, not subject to the calendar’s general sharing permissions, so it always shows real event data. Get that link and submit it at crewwx.com/update in place of the one you used before.
  2. The calendar you submitted isn’t actually the one CrewHub syncs to. This happens when a personal calendar, one you (or your calendar app) use to block off reserve days or days off by hand, gets submitted instead of CrewHub’s real trip feed. Follow the iCloud Calendar setup guide to connect CrewHub to a calendar CrewWX can actually read, then submit that link instead.

Troubleshooting: My Calendar URL Stopped Working

Calendar links can stop working after certain account changes. iCloud sometimes resets public URLs after a password change, and Google can do the same after a security update. Either way, your trips are still syncing in CrewHub; the shared link just needs to be refreshed.

Follow Step 4 of the iCloud Calendar setup guide to re-share your calendar and get a new link, then submit it at crewwx.com/update.

Troubleshooting: I Signed Up But Haven't Gotten Any Emails

Work through these in order. They follow the same sequence your account does, so the first one you can’t answer “yes” to is where you are.

  1. Did you enter your verification code? Right after signing up we send a 6-digit code to your SWA email (e{employee number}@wnco.com). Entering it on the verify page approves your account automatically. Until that happens, nothing further down this list can. Didn’t get it? The verify page has a Resend button, and a “Request manual verification” option if you can’t reach your SWA email at all. You can always get back to the verify page from your account status page.
  2. Has your account been approved? Entering your verification code approves you automatically. If you used “Request manual verification” instead, CrewWX falls back to a brief manual review. You’ll receive a confirmation email once approved, usually within 24 hours.
  3. Did you open your setup link? Once you’re verified, CrewWX emails you a secure link to the Finish Setup page. If you can’t find that email, there are two other ways in: the Continue Setup button on your confirmation page, or have us resend it. Check your spam folder as well.
  4. Did you enter your calendar URL? Finish Setup is where you paste your calendar address. Your account doesn’t send anything until that step is complete.
  5. Do you have upcoming trips in your alert window? Briefs only go out when a trip is detected. If your next trip starts further out than your alert window (default: 3 days before), you won’t see anything yet. You can check and adjust your window at crewwx.com/update.
  6. Does your calendar actually carry your trips? Paste your URL into the test tool above. It will tell you which of these you have. Nothing from CrewHub on the calendar means Sync Trips to iCal is pointed at a different one: see Step 2 of the iCloud guide or Step 3 of the Google guide. Every event showing as a generic “Busy” block has its own fix. See My calendar only shows ‘Busy’ blocks above. CrewHub syncing with nothing scheduled means everything is working and there’s just no trip yet. iCloud and Google also reset calendar links after some password and security changes, so an address that used to work can stop.
