Point CrewHub at an iCloud calendar for your trips, confirm they land, then give CrewWX a read-only link to it.
CrewHub→iCloud Calendar→CrewWX
CrewHub puts your trips on an iCloud calendar. You confirm they arrived. Apple gives you a read-only link to that calendar, and CrewWX reads it.
You’ll need: an iPhone or iPad with the CrewHub app, and an iCloud account with Calendars turned on.
Don’t have a CrewWX account yet? Sign up and verify your SWA email first, then come back here.
Already partway through? Already have a calendar just for trips → Step 2 · CrewHub already syncing → Step 3 · Public Calendar already turned on → Step 4 (copy the link)
Apple Calendar can hold several separate calendars. Think of them like folders. We recommend one just for CrewHub trips, called something like SWA Trips. CrewWX only ever sees the calendar you connect, so keeping trips separate from your personal events means the link can only ever show your work schedule.
That’s a recommendation, not a requirement. Already have a calendar CrewHub syncs to? Don’t start over. Skip ahead to Step 2.
It has to be an iCloud calendar. When you create it, check that Account says iCloud. Apple Calendar lists the calendars from every account you’re signed into (Google, work email, subscriptions), and only iCloud calendars can produce the sharing link CrewWX needs.
Do this before you share anything. The link you copy later is a live feed of whatever is already in the calendar, so your trips have to be in there first.
CrewHub lists every calendar connected to your device here: iCloud, Google, work email, and any others you’ve signed in to. Your iCloud calendar will show up in this list alongside the rest.
Don’t see the calendar “SWA Trips” listed? Go to Settings → [your name] → iCloud → See All → iCloud Calendar → Use on this iPhone (or Use on this iPad), then come back here. Still not seeing it? Email [email protected].
Checkpoint 1: CrewHub → iCloud Calendar
Stop here and check. Open the Calendar app. Do you see one of your CrewHub trips on the calendar you selected?
Apple calls this Public Calendar, and the name oversells it. It doesn’t make your calendar searchable or list it anywhere. It creates one long, unguessable, read-only link, and anyone who has that link can view the calendar. Apple’s own description sits right under the switch: “Allow anyone to subscribe to a read-only version of this calendar.” That’s why we suggest a separate trips calendar. CrewWX can only read it, never add, change, or delete anything.
CrewWX uses this link to read the calendar you connect and identify your CrewHub trips: read-only, never logged, never displayed back to you, never shared, deleted the moment you delete your account.
You can revoke it yourself at any time, without emailing anyone. Turn Public Calendar back off in the Calendar app and the old link stops working immediately. If you want briefs to keep coming, turn it back on and paste the new link at crewwx.com/update.
Steps 2 and 3 need CrewHub, which only runs on a phone or tablet, but once your trips are syncing, you can do this step on a Mac instead.
Copy the link from Step 4, then:
Checkpoint 2: iCloud Calendar → CrewWX
Go back to the CrewWX Finish Setup page and paste the calendar link there. It checks your calendar automatically before saving, and flags anything that looks wrong. Closed that page? Reopen it with Continue Setup on your confirmation page, or the link in your setup email.
Not signed up yet, or just want to double-check the link first? Paste it into the calendar test tool on the main Support page.
Share iCloud calendars on iPhone (Apple Support). Step-by-step from Apple if you need more detail.
Still stuck? Email [email protected] and we’ll take a look.
